Reservation confirmation

Once you submit your reservation request with Ausangate Peru, confirmation will be subject to verification of the corresponding payment. During this process, we will provide a detailed document specifying all services included and excluded in your package.

If we do not receive an explicit response or objection from you after our communication, we will assume you agree with our terms and conditions. In such a case, Ausangate Peru will not be responsible for misunderstandings or unforeseen circumstances that may arise.

If you prefer to book directly through our website, please ensure that all required information is completed accurately. It is essential that your full name and passport number exactly match those on your passport or official identity document, and that your contact details (email address, phone number, WhatsApp, etc.) are correct.

Once the payment is confirmed, we will proceed to verify availability and arrange the necessary permits for your trip.

Important Note: Your reservation will be considered 100% confirmed only after you receive written confirmation from Ausangate Peru via email.

2. BOOKING POLICIES FOR TREK

Initial Deposit:

To guarantee your reservation for a tour or package with Ausangate Peru, a non-refundable initial deposit is required. The amount of this deposit varies depending on the selected itinerary.

Payment can be made via PayPal or credit/debit card. Please note that a 5% service fee will be applied to card payments, and an 8% fee will be applied to PayPal transactions.

By proceeding with the reservation, you confirm that you have read, understood, and fully accepted our Terms and Conditions.

Reservation Confirmation:

Your reservation will be considered confirmed and binding once Ausangate Peru has received all your information and verified your deposit. At that moment, a legally binding contractual agreement will be established between both parties, marking the official beginning of your next adventure.

Shared Responsibility:

All individuals included in the reservation are jointly responsible for the agreement with Ausangate Peru. The person signing the contract represents each individual listed in the reservation, meaning all parties are informed and agree to our Terms and Conditions.

Required Information for Reservation:

Along with the non-refundable deposit, it is essential to provide the following personal details during the reservation process:

  • Full name
  • Passport ID number
  • Gender
  • Nationality
  • Date of birth

These details are crucial to ensure your experience with Ausangate Peru is safe, organized, and memorable.

3. DEPOSIT REQUIREMENTS FOR ITINERARIES

The initial deposit amount depends on the selected itinerary. Whether you prefer a multi-day trek, an alternative route, a short hike, or a traditional tour, you will find below the minimum deposit amount based on the total price range of the selected package per person:

Reminder: Deposit amounts are non-refundable and non-transferable, without exception, due to the advance purchase of entrance tickets and permits for each traveler.

4. PAYMENT POLICIES

At Ausangate Peru, we want your payment experience to be as smooth and convenient as your adventure. Below, we outline our payment policies so you are fully informed:

Accepted Payment Methods:

We accept the following payment methods for both initial deposits and final payments:

  • Cash
  • Credit or Debit Cards
  • PayPal
Important: No traveler may begin the tour until payment is fully settled.

Final Payment:

You must pay the remaining balance 48 hours before the tour starts using one of the following methods:

  • Cash
  • PayPal (an 8% fee applies)
  • Debit/Credit Card (a 5% fee applies)

Cash Payments:

If you prefer to pay in cash, please ensure payment is made at least 48 hours before the tour begins.

We accept:

  • US Dollars
  • Peruvian soles (available only at the office, according to the exchange rate of the day)
Note: We refuse to accept torn, damaged, or defaced bills, no matter how minor the damage.

Bank Fees:

All bank fees or transaction charges associated with your payment will be the customer's responsibility.

Initial Deposit:

The initial deposit is 100% non-refundable and non-transferable under any circumstances. This includes situations such as medical emergencies, as we do not accept medical notes or documentation to justify refunds.

Why?

The deposit is immediately used to secure permits, entrance tickets, campsite reservations, hotels, trains, and to hire service providers. These expenses are non-refundable to us; therefore, we unfortunately cannot make exceptions to this policy.

5. DATE CHANGES

Need to modify your adventure date?

At Ausangate Peru, we are here to assist you, but it is important to be aware of the details regarding date changes:

Penalty for Date Changes:

If you wish to change your tour date, you will incur a penalty of at least US$ 200.00 per person. The amount may vary depending on the tour or package you booked.

Why is this penalty applied?

The cost is not for us but is used to purchase new tickets, as the original tickets (reserved for your initial date) are lost and are non-refundable and non-transferable.

Additional Tickets:

If you have requested additional tickets, such as for:

  • Huayna Picchu
  • Huchuy Picchu
  • Montaña Machu Picchu
  • Or any upgrades

Please note that an additional penalty will apply in addition to the date change fee.

Important: Tickets for Machu Picchu and other destinations are nonrefundable and nontransferable. Therefore, we recommend planning ahead and ensuring the selected dates are final.

At Ausangate Peru, we want your experience to be as flexible as possible. Still, we must also be transparent about the policies that allow us to offer you a quality service.

6. CANCELLATION POLICIES

At Ausangate Peru, we understand that plans can change, so we want to ensure that you are fully aware of our cancellation policies in a clear and transparent manner.

Cancellation Request:

All cancellation requests must be submitted in writing to your sales advisor via email. The person who made the reservation and initial deposit must make the request.

Confirmed reservations with Ausangate Peru are non-refundable if canceled for personal reasons, including conflicts or situations arising from personal relationships. Therefore, ensure your plans are well-defined before confirming your reservation.

Cancellation Fees

At Ausangate Peru, we want you to be fully informed about our cancellation policies so you can plan your trip with peace of mind.

Below, we outline the applicable fees in case of cancellation:

Cancellation with 6 weeks (42 days) notice: A fee equivalent to 60% of the total cost of the reserved tour(s) will apply.
Cancellation with 2 weeks (14 days) notice: A fee equivalent to 80% of the total cost of the reserved tour(s) will apply.
Cancellation within 7 days before the trip: A fee equivalent to 100% of the total cost of the reserved tour(s) will apply.

Additional Considerations:

At Ausangate Peru, we strive to make your experience as clear and transparent as possible. Below, we outline some important considerations you should keep in mind before and during your adventure:

  • Cancellation or Interruption of the trek:
    • If you decide to end the trek after it has begun:
      • No refunds will be issued.
      • The client will be responsible for subsequent costs (food, accommodation, transportation, etc.).
      • You retain the option to join the group for the Machu Picchu tour on the final day.
    • If you are unable to start or continue the trek due to health or physical issues:
      • No refunds will be issued.
      • The client will be responsible for subsequent costs (food, accommodation, transportation, etc.).
      • You retain the option to join the group for the Machu Picchu tour on the final day.
  • Natural Disasters and Unforeseen Circumstances:
    • If a natural disaster or an unforeseen event beyond our control prevents us from delivering our services—leading to cancellations, interruptions, or itinerary modifications—we reserve the right to adjust the itinerary to prioritize your safety and the well-being of all our travelers.
    • If providing the service immediately becomes impossible due to such circumstances, refunds will not be granted.
  • Pandemics or Global Events:
    • If a pandemic or unforeseen event prevents us from providing a service:
      • No refunds will be issued.
      • Instead, we will offer an open ticket to use the service on an alternative date, subject to availability.
  • Absences:
    • Failure to attend pre-trek briefings:
      • We will treat this as a no-show.
    • Failure to participate in a scheduled tour:
      • We will consider this a no-show.
      • Failure to participate in a scheduled tour:
  • Omitted Services: We will not provide refunds for any omitted services included in your excursion.

7. INCA TRAIL TOUR POLICIES:

Booking an Inca Trail tour is the first step toward an unforgettable adventure. However, it is essential to understand the policies related to permits and discounts to ensure your experience is as seamless and thrilling as possible.

Inca Trail Permits:

You secure an exclusive permit issued in your name when you book your tour. This permit is your key to exploring one of the world’s most iconic routes, but you should be aware of the following conditions:

  • Non-transferability: We issue permits as personal and non-transferable, and once issued, you cannot reassign them to another person.
  • Non-refundable: Permits are non-refundable. If, for any reason, you cannot undertake the trek, you will forfeit the permit deposit.
  • No Date Changes: After purchase, the permit dates cannot be modified.
  • Government Regulations: Ausangate Peru or any other agency does not set these conditions. They are regulations imposed by the Peruvian Government, and we must strictly comply with them.

Alternative Arrangements:

If authorities declare the Inca Trail to Machu Picchu closed due to natural disasters or unforeseen events, Ausangate Peru will offer an alternative trek.

Student Discount:

  • Discount Amount: US$20.00
  • Applicable to: Individuals aged 17 or younger.
  • Requirement: You must provide a copy of your valid passport when booking.

8. TOUR AND TREK TERMS AND CONDITIONS:

At Ausangate Peru, we want your experience to be clear, exciting, and free of complications. Below are the terms and conditions governing our tours and treks:

Pricing:

Prices are set per person and are based on double occupancy in hotels, campsites, or tents.

Solo travelers may be paired with another person of the same gender. If you prefer a private room or tent, an additional charge may apply.

Payments and Service Fees:

  • You must pay the remaining balance 48 hours before the tour begins.

Note: Credit/Debit card transactions have a service fee of 5%, while PayPal transactions have a service fee of 8%. For more details, please check our Payment Policies section.

Orientation and Group Dynamics:

  • By joining a Group Tour, you understand that the pace and timing may vary depending on individual abilities.
  • If you wish to explore on your own or encounter any issues during the excursion, notify us immediately so we can resolve them.

Transportation and Itinerary:

  • All Adventure Treks include return transportation to Cusco, with train routes subject to availability.
  • Ausangate Peru may adjust the itinerary if deemed necessary.

Health and Safety on the Trail:

  • If a participant becomes ill or injured and is unable to continue, a muleteer, porter, assistant guide, or another available staff member will accompany them to a location where emergency assistance is available.
  • Helicopter evacuation and medical treatment costs are the hiker’s responsibility.
  • If illness prevents you from completing the tour, we will help you rejoin your group in Machu Picchu (if applicable), at an additional charge.
  • We will not provide refunds for the original payment, but we can issue a formal medical certificate for travel insurance purposes.

Responsibilities and Obligations:

  • Ausangate Peru guarantees its clients' safety by employing highly qualified professionals to prevent accidents, illnesses, and property loss.
  • We are responsible for the actions of our employees, but not for those of third parties.
  • Clients must supervise their personal and rented belongings.
  • We are not responsible for adverse weather conditions, natural disasters, strikes, accidents, health issues, or loss of personal items.
  • We recommend purchasing travel insurance to cover these eventualities.
  • We reserve the right to change or cancel programs due to unforeseen conditions.

Passports and Visas:

  • Travelers must ensure their passports are valid for at least 6 months after the travel date and have the necessary visas.
  • If you renew your passport, notify us immediately and send photos of both the old and new passports. Otherwise, you may face issues entering Machu Picchu and other sites.

Group Size and Language:

  • Tours are conducted primarily in English and Spanish.
  • Each group may have up to 12 participants, welcoming individuals of all ages and abilities.

Tipping:

Please note that we provide fair salaries to our team, and tips are voluntary in Peru; however, any extra is always appreciated. We will provide more details in your final travel documents or during the briefing.

9. ACCOMMODATION TERMS AND ADDITIONAL CONDITIONS:

At Ausangate Peru, we strive to provide you with a comfortable, safe, and memorable experience. Below, we outline our accommodation policies and other important terms to ensure your journey is perfect from start to finish.

Hotel Accommodation Conditions:

These conditions apply to accommodations in Cusco and Aguas Calientes:

  • Twin Rooms:
    Our accommodations offer standard rooms with two single beds and private amenities to ensure comfort and privacy.
  • Double or Matrimonial Rooms:
    We can arrange a room with a double bed. To ensure availability, please specify this preference when making your reservation.
  • Upgrades and Special Requests:
    We offer hotel upgrade options if you wish to extend your stay. Please notify us in advance so we can prepare everything according to your needs.
  • Single Service:
    If you are traveling alone, you will be paired with another person of the same gender. If you prefer a private room, an additional charge will apply per night.

Our goal is to provide you with a comfortable and welcoming environment. Please inform us of your preferences as early as possible, and we will do our best to accommodate them.

Assumption of Risks:

Adventure and exploration involve inherent risks, including those posed by natural factors, animals, insects, and vegetation. By booking with us, you acknowledge and accept these potential risks. Your decision to participate in our tours indicates your understanding and voluntary acceptance of these conditions.

Liability:

  • Ausangate Peru’s financial liability to its clients is limited to the total amount paid for the tour.
  • We are not responsible for damages, losses, or direct or indirect costs unless explicitly specified in these terms.

Governing Law:

  • All interactions, transactions, and potential disputes will fall under Peru's legal jurisdiction.
  • By using our services, you agree to submit to the jurisdiction of Peruvian courts.

Image Use Rights:

  • Participating in our tours allows us to capture and use images, photos, and videos taken during the trip for promotional and marketing purposes (brochures, social media, etc.).
  • This use does not entail financial or other compensation.
  • If you do not wish us to use your images, notify your Experience Designer via email before the trip begins.

10. MEDICAL INFORMATION AND RESPONSIBILITIES:

Your safety and well-being are our top priorities at Ausangate Peru. To ensure a safe and memorable experience, it is essential that you understand and comply with our medical and liability policies.

Mandatory Disclosure:

When booking, all travelers must inform Ausangate Peru of any existing medical conditions, allergies, or specific health concerns.

Health and Physical Condition:

  • Participants must be in optimal physical condition to undertake the tour.
  • If you are over 70, you must provide a medical certificate confirming your good health.
  • If you have a medical condition, you must provide an updated medical certificate at the time of booking, signed by a licensed healthcare professional authorizing your participation in the tour.
Note: If you do not provide the medical certificate or fail to disclose your condition, Ausangate Peru reserves the right to deny service.

Trip Suitability Assessment:

  • Your responsibility is to assess whether the trip suits you, considering your medical history, current condition, and physical capabilities.
  • We recommend consulting your doctor for medical advice, vaccination recommendations, and other preventive measures.
  • Ausangate Peru does not provide medical consultations or health advice.

Participation Rights:

Ausangate Peru reserves the right to deny participation to anyone whose physical or mental condition is deemed unsuitable for the trip or poses a risk to themselves or others.

Pregnancy Disclosure:

  • We consider pregnancy a medical condition, and you must disclose it at the time of booking.
Note: Ausangate Peru reserves the right to deny service if you do not provide the certificate or disclose your pregnancy.

Travel Insurance:

We strongly recommend that all travelers purchase comprehensive travel insurance. can protect in the case of:

  • Medical emergencies.
  • Tour cancellations.
  • Other unexpected events during the trip.
